The Vendor Detail page is the complete record for one vendor — everything about their insurance, endorsements, documents, contracts, notes, and status lives here, and most day-to-day edits happen from this screen.

What you're looking at
- Header. Vendor name with a compliance chip (Compliant / Non-Compliant), work class, category, region, primary contact and broker/agent, and actions: Edit, Approve & sync to NetSuite, and Archive.
- Insurance & Endorsements. The certificate holder line, the five policies, and the three endorsements, each with limits, expirations, and a status color. Add/edit policies inline. Green = current, red = expired/missing.
- Documents (right). Upload and view files by type (COI, W-9, IRS Verification, ICA, SOW, ACH, Pricing Sheet…), with quick-upload rows for the ones not yet on file.
- Vendor Documents checklist. W-9, IRS TIN Verification, Independent Contractor Agreement, Scope of Work, ACH Authorization — each marked Signed / Not on file.
- Notes. Free-form notes (see below).
- Contracts. The vendor's agreements with start/end dates and status flags (Signed, SOW attached, On NetSuite, Banking info on file).
Editing a vendor
The Edit button opens a dialog to change the vendor's name, legal name, work classes, regions, categories, pricing, and contacts (primary + secondary).

Pending Requirements — asking the vendor and broker for what's missing
When a vendor has insurance items outstanding, a Pending Requirements list appears at the bottom of the Insurance & Endorsements panel. Each item says why it is outstanding — Missing (nothing on file), Expired (the policy lapsed), or Non-Compliant (on file and current, but under the required limit).
Notify Vendor & Broker asks them for those items. It opens a confirmation window first, so you can see exactly what is going out and to whom before anything is sent.

- The list is what will be asked for, with the reason beside each item.
- Recipients are the vendor's point of contact, their broker, and [email protected] — the shared inbox is always on the thread.
- Additional email addresses lets you add anyone else (separate several with commas). An address that isn't valid is flagged and blocks the send rather than failing afterwards.
- Certificate holder — if the cert holder is one of the outstanding items, the email spells out the exact string the COI must name, so the broker can reissue it correctly. The window shows you that block before you send.
