Overview

Once a HubSpot ticket in the De-Re Pipeline moves to the ticket status ‘Quote Approved’, it generates a project in the Service department to execute the De-Re. This project will be associated with the original project(s), but has it’s own Pulse, Tasks, Files, etc. You can always check out information about the original project, and navigate to the original projects by going to the ‘Related Projects’ tab of the Service project. For example, here you can see that Carmen Renaud is a Service De-Re for a customer that bought a Phase I system with 21 modules, and a Phase II system with 1 battery.

A Service De-Re follows the following task flow, and each task is detailed below, including what is required to complete each step and the automations / integrations available to assist you.

Converting an Existing Project into a De Re

If you have an SER you are working on that needs to be converted into a De Re, you can select Is De Re = Yes under the Details > Scope tab in Sunrise.

Quote Accepted

When the customer requests a De Re through our Service Website Form, a series of integrations with HubSpot will generate and email the customer an automatically generated quote from [email protected]. If the customer accepts this quote by responding to the email, the user should check off the Quote Accepted task. Once the Quote Accepted task is completed, the customer will receive the ‘De Re Next Steps’ email.

If the Quote Accepted task is not checked off within 60 days, the project will be cancelled and the customer will receive the ‘De Re Auto Close’ email.

Create Sales Order

The first step in the De-Re process is to create a Netsuite Sales Order. This will ensure that Service gets ‘credit’ for the revenue associated with this transaction in our accounting system. In order to create a Sales Order, navigate to ‘Actions’, and trigger the ‘Netsuite - Create Sales Order’ action.

This will create a Sales Order in Netsuite. Once this is done, you can check off the ‘Create Sales Order’ task.

Send Contract

Next, you will need to send the De Re Contract for signature, and upload the signed contract to Sunrise. Before sending the De Re Contract for signature, it is recommended to check the email of the primary Contact associated with the project in the Contacts tab to ensure that it looks correct. Once you have done this, go to the ‘Actions’ tab, choose the action ‘Sign Request - De Re Contract’ action, and trigger it. This will send the customer their De Re Contract for signature.

Upload Contract

Once the customer signs, the user that sent the email will get a copy of the contract in their email inbox. They can then upload the contract to Sunrise, and check off the Upload Contract task.
