Purpose

When a project has a change order filed, there is a certain process to be followed by the Energy Consultant in order to ensure that there is full documentation of the change order. The change order should be filed through the Proposal Tool, and applicable documents in Project Sunrise should be updated to reflect the change order. If accounting reviews a change order and finds that there is an issue that requires the attention of the Energy Consultant or Area Sales Manager, they can trigger the Resolve Change Order Deficiency task in Sunrise.

Generating the Task

The Resolve Change Order Deficiency task can be populated in Sunrise by clicking on the blue ‘+ Task’ button on the Tasks tab of any residential project. Then, you can fill out the Create Task dialog and click Submit. Choose ‘Resolve Change Order Deficiency’ as the template in order to populate this task.

Adding the Change Order Deficiency Reason & Notes

The task is going to have two fields to communicate to the EC and ASM why the project is having an issue with its change order. To populate these fields with information, go to the newly created task in the Accounting task group, and click on it. Here, you can fill out the Change Order Deficiency Reason and Change Order Deficiency Notes.

Automated Emails

Every week on Mondays, the EC, ASM, and AASM assigned to a project will receive an email containing the Project ID, Change Order Deficiency Reason, and Change Order Deficiency Notes. This email can also be triggered manually using the Actions tab:
