How Freedom HR is organized, who logs in where, and the ideas (roles, permissions, sessions, notifications) that show up on every page.

The four realms

Freedom HR is really four apps behind one address. Which one you land in depends on how you arrive:

  1. Careers site (public) — anyone on the internet can browse open roles. No account.
  2. Staff admin (/admin/…) — the internal workspace for recruiting, onboarding, equipment, and settings. Google sign-in, invite-only.
  3. New-hire portal (/onboarding) — a small, focused checklist app for someone who was just hired. They get in through a private magic link, not a password.
  4. Settings (/admin/settings) — part of the staff app, but gated to admins.

The staff session and the new-hire session are completely separate. Signing into one signs you out of the other — by design (see Issues below).

Navigation (staff)

Once signed in as staff, a top nav bar appears on every internal page. What you see depends on your permissions:

Nav item Shown when you have…
Jobs Always (any signed-in staff)
Candidates candidates.view or candidates.manage
Onboarding onboarding.view or onboarding.manage
Task queue onboarding.manage
Equipment it.manage
Settings settings.manage or users.manage
🔔 bell / profile / Sign out Always

If you lack a permission, the nav item simply isn't there — there's no "access denied" page to hit.

Roles & permissions

Every staff user has exactly one role (e.g. Administrator, Recruiter, IT). A role is a bundle of permission switches. Permissions gate both nav items and individual buttons (e.g. revealing an equipment password needs equipment.view_passwords; previewing a hire's portal needs the super-admin onboarding.impersonate). Roles are managed in Settings → Roles & Permissions.

Notifications

A bell in the top-right shows a badge with your unread count and polls for new activity about once a minute. Clicking it opens recent items; clicking an item marks it read and jumps to the relevant record. Empty state reads “You're all caught up.”

The notifications dropdown, empty state. Whether you receive notifications at all is controlled by the receives_notifications permission on your role; the channels (in-app / email) are tuned per-person on your Profile.
