Who this is for: Operations, scheduling and Customer Care staff who need to know why a customer's tracker shows what it shows.
What it covers: each of the seven stages, which Sunrise task checks off each Key Step, and what the customer sees in the Up Next box.
At a glance
- Every Key Step is tied to one Sunrise task. Complete the task and the step is checked off on the customer's next page load.
- A stage is complete when all of its visible steps are done. The next stage then unlocks; until then it is greyed out.
- The portal always opens on the first stage that is not complete.
- Appointment dates in Up Next come from the project's appointment fields in Sunrise (site assessment, electrician, installation, city and utility inspection times).
- Fix a wrong tracker in Sunrise. The portal has no settings of its own.
Rules that apply to every stage
- Deleted or archived tasks count as done. Archiving a task checks off its step for the customer, so archive with care.
- Missing tasks hide the step. If the project has no task from a step's template, that step simply does not appear.
- Group steps (HOA, Permit, Utility, Electrical, Panel installation, City, Utility inspections) are done when every sub-step under them is done.
- "Usually takes" in the top right is fixed at 2-3 weeks for Kickoff, Site Assessment, System Design and System Launch. For Applications & Permits, On-Site Installation and Third-Party Inspections it is a range based on similar projects that finished that stage in the last 180 days (falling back to 3-9, 4-6 and 4-6 weeks when there is not enough history).
- "Estimated: Month Year" under System Launch in the stage list comes from the project's projected commissioning date. It is currently hidden for any date in 2026 on purpose, so most customers will not see it this year.
- Extended projects. While a "Confirm New Construction Readiness", "Confirm Remodel Complete", "Confirm Re-Roof Complete", "Confirm Customer Initiated Delay > 30 Days Complete" or "Confirm Operations Assistance Complete" task is open, a red step (for example Complete construction or Resume project) is added to the top of the current stage, and an Extended Project banner shows. See Customer Portal > Project Tracker > Banners, Updates & Alerts.
Stage by stage
1. Project Kickoff

Project Kickoff on a cash deal. "Pay deposit" links to the deposit invoice and is flagged Action required.
| Key Step the customer sees |
Checked off by this Sunrise task |
| Sign contract |
Signed Contract |
| Send utility bill |
Upload Utility Account Information |
| Pay deposit (cash deals or loans with a down payment) / Loan approval received (other financed deals) |
Confirm Deposit Received. Optional: the stage can complete without it. |
| Verify internal documents |
Verify Required Sales Documentation |
Pay deposit becomes a link with an Action required tag when the project has a deposit invoice link. Up Next shows "Pay Deposit" on cash deals with the deposit outstanding; otherwise "We're uploading key documents, and will contact you for any action needed".
2. Site Assessment
